Terms and Conditions

These terms and conditions govern your participation in "Mindful City Kamakura Week" (hereinafter referred to as the "Event"), organized by Zen2.0 General Incorporated Association (hereinafter referred to as the "Organizer"). The purpose of this Event is to contribute to the realization of "Mindful City Kamakura" by providing a variety of experiences themed around the spirituality found in Japanese nature, based on the spirit of Zen and mindfulness, through collaboration with various individuals, stores, and organizations in Kamakura City (hereinafter referred to as the "Participants").

Anyone wishing to participate must fully understand and agree to the terms and conditions of this agreement before applying.


**Article 1 (Name and Purpose)**
The name of this event shall be “Mindful City Kamakura Week.”

The purpose of this event is to reinterpret the organizer’s core principles of “Buddha, Dharma, Sangha” in a contemporary context, under the theme of “Spirituality in Nature.” Through participant-organized and -led events, the week aims to foster inner richness, harmony with nature, and connection among people, thereby contributing to the realization of a more mindful society.

**Article 2 (Organizer)**
The organizer of this event is Zen2.0, a general incorporated association.

**Article 3 (Event Period)**
The event shall be held over one week, from November 16 to November 22, 2025.

**Article 4 (Theme and Event Categories)**
The unifying theme of the event is “Spirituality in Nature.”

Participants shall design and implement events inspired by the spirituality found in Japan’s natural environments.

The event format is open, but the following categories are provided for reference. Please select the most appropriate category upon registration:
- **Workshop / Experience**: Interactive learning or practice (e.g., zazen, meditation, yoga, art-making, cooking).
- **Exhibition / Display**: Art, photography, crafts, and product displays/installations.
- **Talk / Lecture & Dialogue**: Lectures, talk sessions, discussions, book clubs.
- **Performance / Expression**: Music, dance, theater, spoken word.
- **Nature Activity / Outdoor Experience**: Forest bathing, beach yoga, gardening, sailing, surfing.
- **Community / Social Exchange & Market**: Interaction-focused events, market stalls, food/drink sales.
- **Food**: Mindful eating, local and seasonal food workshops, natural cooking.
- **Other**: Any unique event not covered above.

**Article 5 (Eligibility)**
Individuals, corporations, organizations, and shops that agree with the purpose of this event and these terms are eligible to participate.

**Article 6 (Participation Requirements)**
To participate, one must:
1. Agree with Zen2.0’s mission.
2. Plan and execute an event aligned with the “Spirituality in Nature” theme.
3. Display the “Mindful City Kamakura Week” logo at the event site, on websites, and promotional materials, following provided logo guidelines.
4. Submit a registration form by the deadline.
5. Avoid events with primary political or religious agendas.
6. Avoid actions against public order and morals.
7. Obtain (or plan to obtain) all necessary permits.
8. Establish safety management and acquire appropriate insurance.
9. Meet other criteria as defined by the organizer.

**Article 7 (Application and Review)**
Applicants must fill out a designated form with event title, summary, date/time, location, fee, capacity, target audience, safety measures, and promotion plan.

The organizer will review submissions for theme alignment, feasibility, safety, and consistency with event goals. Approved applicants will be notified and given logo assets, toolkits, and payment instructions.

The organizer will list approved events on the official website and expects participants to review and confirm accuracy. If requirements are not met, participation may be declined without detailed explanation.

**Article 8 (Participation Fee)**
- Organizations: ¥8,000 (tax included)
- Individuals: ¥3,000 (tax included)

Fees help cover promotion, web hosting, and administrative costs. Fees are non-refundable.

**Article 9 (Event Responsibilities)**
Participants are responsible for all aspects of their event, including planning, logistics, publicity, operations, ticketing, venue setup, and cleanup.

Venues must be secured by participants and used in accordance with laws and rules. All necessary safety precautions and legal responsibilities rest with the participant.

**Article 10 (Revenue Sharing)**
Participants must remit 20% of all revenue (tickets, product sales, services) generated during the event period (Nov 16–22) to Zen2.0.

A sales report with breakdown by date and type must be submitted within 14 days post-event. Payment must be made within 30 days of submission. Transfer fees are borne by participants. Supporting documents may be requested.

**Article 11 (Information and Promotion)**
Participants must provide necessary information (event details, images, contact info) for promotional use by the organizer.

Participants agree to allow the organizer to use their submitted materials in promotional content (website, SNS, print, press) free of charge.

Participants are expected to promote their own events while making it clear they are part of Mindful City Kamakura Week and using the provided logo and hashtags.

**Article 12 (Logo Use)**
Participants must follow the logo usage guidelines and may only use it for promotion of their specific event and this week overall.

Unauthorized modification or redesign of the logo is prohibited.

**Article 13 (Code of Conduct & Sustainability)**
Participants must engage respectfully with others and uphold the spirit of the event.

They must respect diversity and avoid any form of discrimination or harassment.

They are also expected to reduce environmental impact (waste sorting, sustainable materials, energy saving, etc.).

**Article 14 (Prohibited Conduct)**
Participants must not:
- Violate these terms.
- Infringe on others’ rights (copyright, privacy, etc.).
- Defame or harm others.
- Violate public morals or laws.
- Conduct events contrary to the event’s mission.
- Engage in other conduct deemed inappropriate by the organizer.

**Article 15 (Revocation of Participation)**
The organizer may revoke participation without notice if these terms are violated or if the participant is deemed inappropriate. Fees will not be refunded, and the organizer is not liable for any resulting damages.

**Article 16 (Disclaimer)**
Participants join at their own risk. The organizer is not responsible for damages from cancellations, accidents, theft, disputes, etc., except in cases of willful or gross negligence.

If the event must be altered or canceled due to force majeure (natural disasters, public health, government orders, etc.), the organizer bears no responsibility, including refunds.

The organizer strives for accuracy on its website but does not guarantee it.

**Article 17 (Personal and Provided Information)**
Personal information will be handled appropriately based on Zen2.0’s privacy policy and only used for event-related communication.

Event details (excluding personal info) may be used by the organizer for promotion and documentation.

**Article 18 (Changes to Terms)**
These terms may be amended by the organizer. Updated terms will be posted, and continued participation after notification constitutes acceptance.

**Article 19 (Governing Law and Jurisdiction)**
These terms are governed by Japanese law. The Yokohama District Court shall be the exclusive court of first instance for any disputes.
